How PayDirection Automated KYB Onboarding with SpeedyDD

PayDirection is a Malta-based financial services company that manages complex client onboarding across multiple entities, beneficial owners, and shareholders. As their client roster grew, the team quickly realized that traditional tools weren’t enough to keep up with the volume and complexity of their work.

We spoke with Teona Jungmann, Onboarding Manager at PayDirection, about how her team manages client onboarding, the challenges they faced before adopting SpeedyDD, and the ways the platform has transformed their day-to-day workflow. From tracking document expiries to visualizing complex ownership structures, Teona shared how SpeedyDD has become an essential tool for both her team and their clients.

What challenge made you seek out SpeedyDD?

"As a financial services provider, onboarding a client means collecting a lot of documents, and I mean a lot. Passports, certificates of incorporation, shareholder agreements, proof of address, etc; all of which has an expiry date. We were using Google Drive before, which was fine for storing files, but it couldn't tell us when something was about to expire, and had no way of showing us how a company was actually structured in a clean view. Because we deal with clients who have multiple related entities and layers of ownership, we needed more than a folder system. On top of that, every time a bank needed to review a client’s due diligence documents, we had to download everything manually and send it over email. It just wasn’t a sustainable way to work."

What was your process before SpeedyDD and how did it affect your day-to-day work?

"Clients had their documents on Google Drive and we were doing most of the heavy lifting on our end. When someone new came on board, we'd go into their Drive, pull everything out, and try to build a coherent picture of who they were and how their business was structured. Excel sheets were used to manually track document validity and expiry, which became challenging to manage as we started onboarding multiple clients.

It made the work slow, and very hard to maintain ongoing compliance as it required multiple steps to the work that was already demanding enough."

What was the implementation process like for your team?

“When SpeedyDD was first introduced at PayDirection around two to three years ago, I worked closely with the SpeedyDD development team to customise and implement the functionalities we needed, tailored to our requirements KYB onboarding and document management. It was really exciting to see features and specific elements built to fit our use case perfectly. It was a significant upfront investment of time, but one that set the foundation for how the team works today. Even now, the overall service remains excellent, and the platform continues to support our onboarding processes seamlessly.”

What results have you seen since implementing SpeedyDD?

"Onboarding our clients is now automated and much simpler, as everything lives in one place now - client information, documents, risk questionnaires, security screening results and company structure map. This has changed how we work completely. Every document has an expiry date assigned to it, and the dashboard shows us what's expiring up or already expired, allowing us to automatically trigger the renewal workflow process. So rather than trying to remember when something was last renewed, we just look at the dashboard and know exactly where to direct our attention.

The company structure view is probably the thing I'd miss most if it went away. We can see the full picture of a client's business, who the beneficial owners are, who the directors and shareholders are, how the entities connect, all in one view. That's genuinely useful when we're speaking with a bank and they want to understand the ownership structure quickly.

What benefits has SpeedyDD brought you on a personal or professional level?

"Honestly, it's made the job less stressful. There's a lot of detail involved in onboarding and compliance work, so when your system is reliable you can focus on the actual work rather than trying to hold everything in your head. I know where the documents are, I know what's current, and if someone asks for something, I can send it quickly without having to hunt anything down.

It's also shifted how we work with clients a little. They're managing their own profiles now rather than depending on us to chase things on their behalf. That's a better dynamic all around as they're more involved in their own compliance and we're not the ones carrying all of it.

We haven't really had a moment where we've thought 'SpeedyDD can't do this, we need something else.' It covers everything we need."

There is one feature Teona's team hasn't fully adopted yet, the internal mailbox, which could bring sensitive client-related communication into the platform alongside the documents. Teona is planning to get more clarity on how it works, particularly for group emails, before rolling it out to the team. It may be the next step in consolidating even more of their workflow into one place.

SpeedyDD: A Tool That Just Works

For a team like Teona's, where the details matter and the margin for error is small, the real measure of a tool is whether it fades into the background and lets you get on with the work. SpeedyDD has done that for PayDirection's onboarding team.
